FieldBuddy is hosted on the Salesforce platform and is offered to you as a service. Data protection is taken very seriously by FieldBuddy and our partner Salesforce. This is why multi-factor authentication (MFA) will be required to access FieldBuddy. This without any additional costs. This impacts <u>all</u> FieldBuddy customers. Please read the e-mail carefully in what this means for you and your users.

**What is MFA?**

MFA is a secure authentication method that requires users to prove their identity by supplying two or more pieces of evidence (or “factors”) when they log in. One factor is something the user knows, such as their username and password. Other factors are verification methods that the user has in their possession, such as an authenticator app or security key. By tying user access to multiple types of factors, MFA makes it much harder for common threats like phishing attacks and account takeovers to succeed.

MFA is one of the <u>easiest</u>, most effective tools for enhancing login security, and safeguarding your business and data against security threats.

**When does the MFA requirement go into effect?**

The requirement begins on February 1, 2022. At first it will be optional in the login screen, later on it will be enforced.

**Which MFA options are offered?**

The following MFA options are available:

1. Salesforce Authenticator (available in Google Play store and Apple App store)
2. Other authenticator apps like: Google Authenticator and Microsoft Authenticator.
3. Physical Security keys like: YubiKey and Titan Security Key
4. Built-in authenticators like: Windows Hello, Touch ID, Face ID

If you would like to know more about these options, please contact our support department. A user can choose his own authenticator when logging in and will be guided in the initial set-up.

**What users are impacted?**

The following users are impacted by the MFA requirement:

- Back-office and Admin users using the browser to access the FieldBuddy Service Center
- Mobile users that <u>login</u> in the mobile application FieldBuddy Mobile or FieldBuddy Swift

It is <u>only</u> at login when MFA is required. Mobile users are often always logged in. For opening up the mobile application (while previously being logged in), nothing will change.

**What users are NOT impacted?**

The following users are not impacted by the MFA requirement:

- API / Integration users, for this an exception can be made.
- Customer portal users, in case you have a FieldBuddy Customer portal running. These users will not be enforced to use MFA.

**What action should I take?**

The following steps will be done:

1. Our support department will create a case on our customer support portal to initiate the conversation.
2. We will create a permission-set in your organization. Once a user is assigned to this permission set, the user will be required to set-up MFA with his next login attempt. He will be guided in doing so.
3. Initially we will add all Admin users to the permission-set so that they can experience the set-up.
4. We will give instructions how to assign other users to the permission set and leave the rolling out to be <u>your</u> responsibility.
5. Inform your users and assign them to the permission-set. And make sure you do not forget anybody. We will help you with instruction videos.

If you would like our support team to do the assignment of users, a case in our portal can be created.

**What if I do nothing?**

In case a user has no MFA enabled yet, the platform will be doing that automatically starting February 1st 2022. First optional, later enforced.

**What if I have multiple people using the same account?**

This is <u>not</u> allowed and a violation of our license agreement. A user should be an <u>individual</u> person and never a group. Enforcing MFA means that only a single person will be able to authenticate. In case if you have a group of people you would like to have access to FieldBuddy, please contact your accountmanager or the support department to discuss a solution.
