The Refrigerant registration (Koudemiddelbeheer) module is an extension package for FieldBuddy that enables companies to manage the full lifecycle of refrigerants used in field service operations. It allows companies to register, track, and report on all refrigerant substances and the physical containers that hold them — from the moment a cylinder enters the inventory to the point it is retired or recycled. The module is designed to meet Dutch and European F-gas regulation requirements, ensuring full traceability of all refrigerant movements.

At the core of the module is the Container object, which represents any physical vessel holding refrigerant — either a cylinder or an installation. Each container tracks its type, capacity, current balance, assigned refrigerant, ownership status (owned or rented), and the technician responsible for it. Container balances are automatically updated as refrigerant moves in and out, giving back-office staff an accurate picture of stock at all times.

All refrigerant movements are recorded as Transactions (Mutaties). A transactions captures what happened — whether refrigerant was introduced, transferred between containers, corrected, or lost through leakage — along with the amount, source and target container, and the associated work order or technician. Transactions can be created manually in the back office (using standard interfacce or custom component) or automatically triggered by technicians in the field through FieldBuddy Swift. Every completed mutation generates a Logbook Entry, providing a tamper-proof audit trail per container.

The module includes a Settings page for administrators to configure integration with FieldBuddy Swift — including work order statuses, line item codes, and refrigerant WOLI types. Built-in reporting covers stock levels per container, weekly purchases, leakage incidents, CO₂ equivalent calculations, and transaction history per technician or installation — supporting both operational management and legal F-gas compliance reporting.
