The **Items** tab lets you view and manage items of a work order or installed product. Work Order Items are how you, as a technician, register the actions you perform. # Overview The Items tab lists all items associated with the current work order, sorted by insertion order. The most recently added items appear at the bottom of the list. Here is what you can see from the items tab at a glance: ## Item Status Item status lets you separate the work you've completed (closed/checked) from the work you haven't done yet (open/unchecked). > ℹ️ **Notes About Item Status** > ℹ️ > ℹ️ - Admins can hide all item-status indicators in Swift [via user configuration](https://help.fieldbuddy.com/space/FBDOCS/5670535260/items#hideStatus). > ℹ️ - When status is hidden, you won't see any status indication, and, > ℹ️ - Every item is treated as closed/checked the moment it's added. > ℹ️ - Some items may default to open/unchecked or closed/checked when added. [Admins configure this](https://help.fieldbuddy.com/space/FBDOCS/5670535260/items#chooseDefaultStatus). ## Item Type Item type lets you narrow down the category of item you're looking for, so you can add it to the work order or installed product quickly. Item types are highly configurable in Swift. Admins can change: - [The icon associated with a type](https://help.fieldbuddy.com/space/FBDOCS/5670535260/items#icons), - [The information displayed on the item](https://help.fieldbuddy.com/space/FBDOCS/7038599170/Work+Order+Line+Items+Tab) Admins can also add new item types to Swift, so you may see types beyond the three defaults below. Three categories are available by default: ## Item Display Type Item display type controls how the item is displayed and how you can interact with an item, especially while adding it to the work order or installed product. Display types are configurable to a limited extent – less so than item types. Admins can change: - [The user interface used for a specific display type](https://help.fieldbuddy.com/space/FBDOCS/5670535260/items) - [The increment/decrement quantity of a display type](https://help.fieldbuddy.com/space/FBDOCS/5377196080/Work+Order+Items#FWorkOrderItem-properties) Unlike item types, **new display types cannot be added** to Swift. Users and admins are limited to four: ### ⚔️ Details vs. Checklist Details and Checklist display types share a lot of functionality, but they differ in some areas — especially around certain user configurations. By default, [a configuration setting](https://help.fieldbuddy.com/space/FBDOCS/5670535260/items#useDetailsAsChecklist) forces Details items to behave like Checklist items, so you will not notice a difference between these display types. If this is not configured by your admin, you may notice the differences seen below. (available only while editing the item details) | | Comments | Add comments to fields. | ❌ Not Supported | ✅ Supported | | Completion percentage | Show completion percentage in the items list. | ❌ Not Supported | ✅ Supported | | Closure section | Show a button at the end of the input fields to quickly open or close the item. | ❌ Not Supported | ✅ Supported | > ℹ️ **Tip:** Checklists offer many more features than Details and are the recommended choice for items that can hold a lot of information. > ℹ️ > ℹ️ To use these features, contact an admin to set up the necessary configuration. # Searching, Adding, Editing, and Deleting Items ### Searching and adding items - Add items using the **floating action button** in the bottom-right corner of the screen. - When pressed, it lets you choose the type of item to add. - Only a limited set of items loads by default. The amount of items displayed can be changed by admins via [configuration](https://help.fieldbuddy.com/space/FBDOCS/5670535260/items#limits). - To find a specific item — or to load more items, including ones available only online — search using the **search bar** at the top of the screen. - If picklist filters are [configured](https://help.fieldbuddy.com/space/FBDOCS/7136084707/How+to+configure+Work+Order+Item+Search+Filtering+in+FieldBuddy+Swift%3F), you may also restrict displayed items based on picklist values that match the items. - You can also search by **barcode/QR code**. - Press the barcode icon to the right of the search bar. - Swift uses an **exact-match** strategy, so your search query must appear in full within an item property (e.g., the name) for it to match. - Example: If the item name is “ABC” and you search for “ABC XYZ“, the item won’t be found. How an item is added depends on its **display type** (not its type): ### Using Picklist Filters If picklist filters are [configured](https://help.fieldbuddy.com/space/FBDOCS/7136084707/How+to+configure+Work+Order+Item+Search+Filtering+in+FieldBuddy+Swift%3F), you may also restrict displayed items based on picklist values that match the items. ## Editing and deleting items - **To edit an item,** press it. You'll be taken to a screen where you can edit its properties. [What properties of the items you can see or edit is determined by your admin via user configuration](https://help.fieldbuddy.com/space/FBDOCS/5377196080/Work+Order+Items#Display-Type-Quantity-or-Checkbox). - **To delete an item,** long-press it and confirm the deletion. > ℹ️ **The Last-Item rule** > ℹ️ > ℹ️ If you're working on a work order with multiple installed products, and the installed product you're working on has only one item left, you can't delete that last item — a pop-up will block the action. > ℹ️ > ℹ️ If you're blocked, what you can do depends on your goal: > ℹ️ > ℹ️ - **To swap the item for another one:** add the item you want, then delete the original. > ℹ️ - **To unlink the installed product from the work order:** use the delete button in the **Home** tab of the installed product screen. ## Other Remarks about Items - You may also see the count of items in the Work Orders Screen [if it is configured by the admin](https://help.fieldbuddy.com/space/FBDOCS/5690589185/FListItem#FListItemCounts).
