Each row represents a Resource and each column represents a unit of time. What time ranges are displayed is controlled by the zoom setting in the [display settings](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004506631/Menu+Section#Display): - If the zoom is set to one day, each column represents an hour of time within a working day. - If the zoom is set to one or more weeks, each column represents a day within a single week, starting on Monday ![image-20260219-150907.png](media://a65b5b04-6b81-43b3-88ff-45719b3496c1) ![image-20260219-150821.png](media://8d7c2069-68e6-46b8-9919-d3ecf2c2e2f1) The weekend can be shown or hidden, as well as displayed hours for each day can be changed in the [display settings](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004506631/Menu+Section#Display). The width of all columns (hour or day) as well as the height of all rows can also be changed in the [display settings](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004506631/Menu+Section#Display). Changing these settings can allow you to fit more appointments on a single screen. Non-working time, based on the resource working hours, is indicated by a light-grey background in the schedule. In case the schedule you’re looking at is too far in the past, the schedule can be already set as read-only. Hovering over the planning section will also display a little window that displays the hovered time. It matches the start and end-times of the appointment. The color of the appointment is based on the current selected [theme ](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004506631/Menu+Section#Theme)and can be cutomized by your administrator. The data displayed on the appointment is can also be [adjusted](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/5242650667). In a special case where the appointment mistakenly has an invalid duration, the appointment will be surrounded with a red blinking border indicating an error. All data that’s present on the appointment can be used to [filter](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004441092/Filter+Section#Search) through them. By default, the only information that is displayed on the appointment is the work-order number, work order type and address. ![image](media://f5e74f86-a641-4410-a629-8ff5d79ad0a2) Icons are shown on the left, there are a few possible icons: - The appointment is locked to a constrained timeframe. - The appointment is locked to a resource. - The appointment is time-locked and cannot be moved in time. - The appointment has a warning, e.g. it is scheduled to a resource that lacks the required skills. - If [Smart Planning](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6052118548) is enabled and used, these icons can show up on optimized appointments: - Appointment is still being optimized. - Appointment has successfully been optimized. - Appointment failed to get optimized. Hovering over the icon will show more details. - This appointment has been confirmed. - The appointment has a comment for the back-office. - If the appointment is an absence, it will display the absence icon. If any changes have been made to an appointment and these changes have not been sent to Salesforce yet, the appointment will look greyed-out (transparent). The displayed information can be [customized](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/5241995358). ![image-20260219-151228.png](media://4f8a63f1-942a-46f8-a3cc-a3d9cf1686e9) ### Appointment Quick Actions There are a few quick actions available when hovering an appointment: ![image-20260219-151332.png](media://9bf4bc4f-19a1-4c07-8f70-c84f6319913c) #### Confirm Appointment Clicking the confirm appointment button (the first one on the left) will change the appointment status field from ‘Not confirmed’ to ‘Confirmed’. This picklist can be found in [Edit Appointment screen](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004899841/Planning+Section#Appointment-Edit-screen). This can trigger an email or SMS to the customer to confirm the appointment. > ℹ️ This could be different for each customer, depended on what has been configured. #### Modify Timeframe Clicking this icon will open a small popup over the appointment. This popup can be used to lock the appointment to a span of time (a timeframe) in which the appointment can be scheduled. This impacts [Smart planning](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6052118548), or if enabled in [Planning settings](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004506631/Menu+Section#Do-not-allow-moving-appointments-outside-the-scheduled-period), also constraints where the appointment can be planned within the scheduler. This simple popup contains the earliest and latest possible times to schedule the appointment, a set of buttons to change the times and a set of buttons for: - Closing the popup without saving changes - Clearing the set timeframe and save changes - Save the new timeframe These times can also be manually changed in the [edit appointment screen](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004899841/Planning+Section#Appointment-Edit-screen) under the options **Scheduled Period start** and **end**. #### Lock Resource Clicking on the resource icon will lock the appointment on the resource. It can no longer be moved to another resource. This impacts [Smart planning](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6052118548). The icon will change and will also be shown on the appointment unless disabled in [performance options](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004506631/Menu+Section#Performance). These menu options can also be found in the quick actions menu and [edit appointment screen](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004899841/Planning+Section#Appointment-Edit-screen). #### Lock Time Clicking on the clock icon will lock the appointment in time. These menu options can also be found in the [quick actions](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004899841/Planning+Section#Appointment-Quick-Actions) menu and [edit appointment screen](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004899841/Planning+Section#Appointment-Edit-screen). #### Edit Work Order Clicking on this icon will open the [Work Order Edit screen](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004899841/Planning+Section#Work-Order-Edit-screen). #### Edit Clicking on the pencil icon will open up the [Appointment Edit screen](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004899841/Planning+Section#Appointment-Edit-screen). #### Delete Clicking on the bin icon will delete the appointment. The Work Order will not be deleted. #### Map Clicking on the magnifying glass icon will open up the map to display the location of the appointment. ### Appointment Edit screen In this screen data of the appointment can be modified. - The Appointment confirmation picklist is directly connected to the Confirm Appointment [quick action](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004899841/Planning+Section#Appointment-Quick-Actions). - Scheduled Period Start and Scheduled Period End on Appointment is the timeframe in which the appointment is required to take place. A warning [notification ](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6004506631/Menu+Section#Notifications)will be shown to the planner if an appointment is scheduled outside this timeframe. - Scheduled Period Start and Scheduled Period End on Work Order is the timeframe in which the Work Order is required to take place. There’s also no un-do option directly from the panel itself. It opens the FieldBuddy Service Center with the appointment itself. #### View a single shift View a single shift opens a focused view for a single resource shift for the day that the action was clicked on. It allows you to adjust appointments, see travel information, map with the route drawn and any information or conflicts bout the shift. The map will automatically jump to the location of the appointment. #### Route Click on ‘Route’ to view the route of that resource on the day the Appointment is scheduled for, on the map. #### Add/Remove Route This option changes depending on the route being currently displayed on the map or not. The options are always only for a route of that resource on the day the Appointment is scheduled for. Click ‘Add Route’ to add the route to the list of shown routes on the map. Click ‘Remove Route’ to remove it from the list of shown routes on the map. #### Lock time or Unlock time In case if the appointment is locked in time. The menu will display ‘Unlock time’. In case if the appointment is not locked in time. The menu will display ‘Lock time’. Locking an appointment in time will cause the appointment not be moved in time, only the resource can be changed. This impacts [Smart Planning](https://upperdeck.atlassian.net/wiki/spaces/FBDOCS/pages/6052118548). In case that both time and resource are locked, the appointment is un-moveable.
